The best driving school diary app for multiple instructors is really two connected diaries: a broad school scheduling view and a narrow instructor view designed for a phone. They must share one booking source while enforcing different permissions.
What the office needs
The school view should answer operational questions quickly:
•
- Which instructors have gaps this week?
•
- Who covers the learner's postcode and transmission preference?
•
- Which booking is unconfirmed or unpaid?
•
- Where can a reassigned pupil fit?
•
- Which lessons changed and who changed them?
A side-by-side calendar can help, but only if filters and labels remain legible. Dense colour blocks without text or status semantics are not enough.
What the instructor needs
The instructor app should open on today's work, not the whole school's timetable. Each row needs time, pupil, pickup and status without horizontal scrolling. From there the instructor can open directions, contact the assigned pupil, finish the lesson and set the next action.
On small screens, use a sticky bottom navigation for the three or four most frequent destinations and a More menu for the rest. A desktop nav squeezed into the top of a phone costs space and reachability.
Permission tests
Ask the supplier to sign in as a normal instructor and try these actions:
1.
open another instructor's booking URL directly;
2.
search for an unassigned enquiry;
3.
view school-wide financial totals;
4.
book a lesson for themselves outside permitted scope;
5.
reopen an account after the school removes access.
The server should reject unauthorised reads and writes. A hidden button is not enough because URLs and API calls can be attempted directly.
Gaps and travel time
Some products focus strongly on filling nearby gaps. GoRoadie Pro, for example, describes offering an open slot to nearby available pupils and calendar conflict highlighting. That can be valuable to a solo instructor or a school where individual ADIs control their diaries.
A centrally managed school should additionally test whether office staff can allocate the right pupil, whether travel assumptions are visible and whether an instructor can decline or request a change without creating an untracked side conversation.
Offline access: keep it small
Mobile connectivity is imperfect, but copying the entire pupil database onto every phone creates unnecessary risk. A proportionate offline design stores only assigned upcoming lessons and a short encrypted operation queue. Scope the storage to the signed-in instructor, limit its age and size, and surface conflicts for human reconciliation.
Calendar export is not a full data export
Apple or Google calendar sync can protect the lesson schedule and help an instructor combine commitments. It does not export enquiries, pupil balances, progress, terms evidence, cases, documents or retention history. Ask separately which operational records and uploaded files a school-authorised export covers.
A useful trial scorecard
Score each app from one to five for desktop school scheduling, phone legibility, conflict prevention, instructor privacy, change history, reminder correctness and data export. Weight the first four highest. A beautiful month view cannot compensate for weak school permissions.
