Review retention and dispose of records safely

Set review periods, preserve records on hold and understand permanent disposal.
← All help guides

Set review periods

1.
Open Data & retention in School view.
2.
Set Passed pupils (years), Inactive pupils (years) and Lost enquiries (days) to the school's agreed policy.
3.
Choose Save retention policy and check the saved settings.
These periods schedule a review. DriveBest does not automatically erase a record just because the review date arrives.

Preserve information when needed

Use Create legal hold for a record that must be kept, for example during a complaint or claim. Enter a clear reason. A hold blocks disposal until an authorised manager uses Release legal hold with the appropriate reason.

Review before permanent disposal

1.
Open Review for the correct record and check its identity and status.
2.
Check that no hold applies and the school no longer needs the information.
3.
Export any records the school must retain using export help.
4.
Enter the reason and read the confirmation before choosing Permanently dispose record.
Permanent disposal cannot be undone. Use Cancel if you are uncertain. Marking a pupil inactive is the safer everyday status change when you need to keep their history.

Check what happened

Use Audit history to review recorded actions. If a hold or validation error blocks disposal, resolve the actual reason; do not change the pupil or case merely to bypass the protection.
